General overview

IT-BHU Global Alumni Association (IBGAA) was formally established in 2008. Its official website is www.itbhuglobal.org. It publishes a monthly online newsmagazine called "IT-BHU Chronicle", which is available is www.itbhuglobal.org/chronicle.

The association has over 10,000 registered members (as on Jan 2010), which includes alumni, students, faculty and staff. It is governed by a Board of Directors (BoD). BoD has 14 directors elected and 3 directors nominated (ex-officio) from the institute.

  • Where is the association registered? Is it tax exempt?
    • US organization: The alumni association has registered global office at New Brunswick, New Jersey, USA. The association is registered with the state of New Jersey as charitable, non-profit organization. It is also registered with Internal Revenue Service (IRS) of USA to receive income-tax deduction under 501(c) 3 Act for donors.

      Indian organization:To facilitate execution of projects at Varanasi campus and for proper channeling of funds from across the globe to India, an Indian arm of the association is also formed. It is known as IT-BHU Global Alumni Association or IBGAA (India). It is governed by a Board of Directors (BoD). The current Director of our institute is always the Chairman of BoD for Indian organization. The Indian association is registered with govt. of India as charitable society under Societies Registration Act, 1860. Donation to the organization is tax-free as per 12(A). The donors from India also get tax-deduction for the amount donated under 80(C).

  • What is the governing structure of the organization?
    • Our association is rules by a set of bylaws adopted by the Board of Directors. The parent NJ based association is governed by the rules and regulations of US govt. and IRS for conduct and handling of funds as a non-profit organization. Similarly, IBGAA (India) is governed by the rules and regulations of India govt. and Registrar of Societies for conduct and handling of funds as a charitable society.

      The association activity is also governed by Council of Representatives (CoR) consisting of branch/year wise representatives from alumni and branch-wise representatives from students side. The association holds election for BoD and CoR at regular intervals, usually every two years.

  • How can I donate funds to IBGAA?
    • We have a bank account with Wachovia Bank in New Jersey. A bank account also exists with Mahendra Kotak Bank at Gowdaulia, Varanasi. Donors from India are advised to send their donations to our bank account in Varanasi. Donors from rest of the world can send their donations to our bank in New Jersey, USA.

      As per rules by Reserve Bank of India for receiving funds by charitable society from abroad, the FCRA (Foreign Contributions Regulations Act) application is needed for first three years. After that period, our association can transfer funds to Indian bank account from abroad immediately, but needs to provide the details in annual report.

      Apart from cash, check, bank transfer and wire transfer of funds, alumni can also donate using credit card, PayPal account (from outside India), etc. It is described on our website, http://www.itbhuglobal.org/donate

  • How are alumni funded projects planned and executed?
    • The alumni funded projects are planned carefully by the board of directors. It is based on feedback received from alumni and needs for helping students/faculty/staff and improving campus infrastructure. Any project can also be suggested by any donor wishing to fund a reasonable amount. It can also be suggested by a class or group of alumni or from a chapter. It can even be suggested by any outsider/well-wisher. All projects are discussed with Director of our institute to get his informed opinion and to avoid duplication of projects (by alumni as well as by institute). The projects for students are designed to help student community in need as well to improve the image of our institute. Care is taken to verify that only those projects which can not (or will not) be funded by the institute/university will be included.

      Once the project is planned by BoD, it is published on our website or in Chronicle. The execution of the project is handled by dedicated faculty, student volunteers and alumni who frequently visit the campus. All information account of money received and spent, progress of the project, names of the beneficiary, etc. is provided to the donor. For project execution, an alumni office is being opened in the Dept. of Electronics Engineering on campus.

  • How does IBGAA ensure proper utilization of donor's money?
    • For any charity work, any donor will have genuine fear whether the money will be well spent for the intended cause and whether it will reach intact to the beneficiary.

      Our association takes extra care to see that funding serves its purpose. First project mission is fully explained to the donor. All intended beneficiaries (such as students receiving scholarships) are selected based on discussion with faculty/institute. BoD is responsible for execution of the project and proper utilization of donor's money.

      Thus the association project activities are controlled in 3 ways: by BoD; by US and Indian govt.; and by Institute administration. All donors receive receipts for the money remitted to association bank account. All donors are also connected directly with beneficiaries, whom they can contact and verify the facts. Donors also receive periodical (monthly/quarterly, etc.) account statements from the association regarding the status of their funds. The association also publishes quarterly account summary statement in Chronicle.

  • How do I contact the board of directors?

1. Make your check or draft payable to "ITBHU Global Alumni Association Inc."
2. Mail the check or draft to the following address:

The check can be an international (for example, rupee) check. Your check will be deposited here in the ITBHUGLOBAL.ORG fund. If you would like to send in your donation by an "electronic wire transfer", please send an email requesting wiring instructions to Treasurer@itbhuglobal.org
